Privacy Policy
Updated 4 November 2026
Except is a private club, so we keep what we know about you to what the club needs. This explains what we collect, why, who can see it, and how to control or delete it.
1. Who is responsible for your data
[LEGAL NAME OF THE COMPANY OR PERSON RUNNING EXCEPT], of [REGISTERED ADDRESS], decides how and why your personal data is used (the “controller”, in data protection terms). You can contact us at hello@exceptclub.com.
2. What we collect
We collect what you give us, and a small amount that comes from using the app.
- Your account: your email address, your name, your username, your bio and your profile picture.
- Your application: your answer to our application question, the field you work in, and any invite code you enter. The field is used to tailor what you see and is never shown on your profile.
- What you create: posts (photos, videos and captions), comments, messages (text, photos and shared posts), replies and posts in spaces, reactions, event replies, and the conversations you pin.
- Your connections: who you follow and who follows you, the members you block, the spaces you belong to and any badges you hold there.
- The posts you like and the posts you save. Only you can see what you have saved.
- Your reports: reports you make about content or members.
- Your agreement to our terms, and when you gave it.
- If a host invites you by email, the address they gave us, kept only so we can recognise you when you apply. We do not email you about it.
- Your phone’s notification address (a push token), if you allow notifications, so we can send them. It is not an advertising identifier.
- Standard technical logs kept by our hosting provider for security, which can include your IP address and the time of a request.
3. What we do not collect
We do not use advertising or analytics trackers in the app, we do not follow you across other apps or websites, and we do not sell your data. We do not read your contacts, and we do not read your calendar or your photo library: the app only receives the photos and videos you choose to share, and it only adds an event to your calendar when you ask it to.
4. How we use it
We use your information to:
- decide on your application and run your membership;
- show your profile and what you share to other members, in line with your privacy settings;
- send your login code, your messages and the notifications you have chosen;
- keep Except safe: acting on reports, blocks and breaches of our terms, and preventing misuse;
- meet our legal obligations.
5. Our reasons for using it
To provide the club you have joined, which is our contract with you. For our legitimate interests in keeping Except safe and secure. With your consent, which you can withdraw at any time, for notifications and for access to your photos and calendar. And where the law requires us to.
6. Who can see what
- Your profile (name, username, bio, picture) is visible to other members. If you make your account private, only people you approve can see your posts.
- You choose whether others can see who follows you, who you follow, and which spaces you have joined.
- Messages are visible only to the people in the conversation, or to the members of the space for a space chat.
- A space’s feed and chat are visible to that space’s members.
- Our team can see the data in our database when we need to, to review applications, handle reports and give support.
7. Who we share it with
We use a few companies to run Except. They handle data only on our instructions:
- Supabase, which hosts our database, sign-in and file storage;
- Resend, which sends the email containing your login code;
- Expo, and Apple or Google, which deliver notifications to your phone;
- our email provider, if you write to hello@exceptclub.com or support@exceptclub.com.
8. Moving data abroad
Some of these companies may process data outside the United Kingdom or the European Economic Area. Where they do, we rely on safeguards the law recognises, such as standard contractual clauses.
9. How long we keep it
We keep your information while your account is open. When you delete your account, we delete your profile, application, posts, comments, messages, follows, pins and notification address. Messages you delete disappear for everyone at once. An email invitation a host sends to someone who has not joined expires after 60 days, and unused ones are deleted. Backups kept by our provider are overwritten on a rolling basis. If we remove someone for breaking our rules, we keep a minimal record of the account (their email address, the date and the reason) so they cannot simply return, for as long as it is needed to protect other members. We may keep a record of reports made about conduct, with the identity of the person who made them removed, where it is needed to protect other members.
10. Your rights
You have the right to see the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive a copy in a portable form, and to withdraw consent. Most of this you can do yourself: edit your profile in the app, and delete your account in Settings. For anything else, write to hello@exceptclub.com and we will reply within one month.
If you are unhappy with how we have used your data, you can complain to the Information Commissioner’s Office (ico.org.uk), or to the regulator where you live.
11. Age
Except is for people aged 16 and over. We do not knowingly collect information from anyone younger, and we will delete it if we find out we have.
12. Security
We protect your data with access controls and encrypted connections, and we limit who on our team can see it. No system is perfectly secure, and if something goes wrong that puts you at risk we will tell you and the regulator as the law requires.
13. Changes
If we change this policy in a way that matters, we will tell members in the app before it takes effect. The date at the top shows when it was last updated.
